Document quality tips and what officers look for

How to make sure each document in your application meets the standards visa officers expect.

Uploading a document is not enough on its own. The quality and content of each document matters just as much as its presence. This guide explains what visa officers typically look for and how to prepare each type of document correctly.

General rules that apply to all documents

  • Names must match exactly. The name on every document should match the name on your passport. Small differences (a missing middle name, a hyphen vs no hyphen) can raise concerns. If your name appears differently on a document, include a brief explanation note with your application.
  • Dates must be current. Most financial documents must be from the last three months. Travel itineraries must cover your intended travel dates. Check the recency requirement for each checklist item in MigraIQ.
  • Documents must be in English or include a certified translation. If a document is in another language, attach a certified translation by a recognized translator alongside the original.
  • Do not alter documents. Editing, cropping, or modifying any official document is fraud and will result in rejection and potentially a ban.

Document-specific guidance

Passport

  • Must be valid for the entire duration of your intended stay, plus a safety buffer (aim for at least 6 months beyond your return date).
  • Upload all pages that contain stamps, visas, or endorsements, not just the bio page.
  • If you have an older expired passport that contains valid visas for other countries, upload that too. It demonstrates travel history.

Bank statements

  • Must show your full name and account number on every page.
  • Statements must cover the last 3-6 months (check your specific program requirement in the checklist).
  • The ending balance should comfortably cover your travel costs plus a buffer. As a rough guide, you should have enough to cover accommodation, food, transport, and return flights for the full duration.
  • Avoid large unexplained cash deposits immediately before the statement period. Officers notice sudden spikes that do not match your stated income.
  • Use official digital statements directly from your bank if possible. Screenshots of mobile banking apps are generally not accepted.

Employment letter

  • Must be on official company letterhead with a company stamp or signature.
  • Must state your position, start date, salary, and that you have been granted leave for your travel dates.
  • The date on the letter should be within the last 30 days.
  • If self-employed, substitute with a business registration certificate, recent tax return, and a personal letter explaining your business.

Pay stubs

  • Must match the employer named in your employment letter.
  • Your name on the pay stub must match your passport name.
  • Cover at least the last 3 months.

Travel itinerary

  • Must show your full name, outbound and return flight details, and dates.
  • You do not need to purchase flights before applying. A flight reservation (not a ticket) is sufficient. Many booking sites offer itinerary reservations for a small fee that you can cancel after your visa is approved.
  • Hotel bookings or accommodation confirmation for the full trip duration should accompany the itinerary.

Invitation letter (if applicable)

  • Must be from your host in the destination country.
  • Should include their full name, address, contact details, your relationship to them, the purpose of the visit, and a statement that they will host you.
  • Attach a copy of your host's ID or status document if available.

What if a document does not meet the requirements?
